How to send a communication to all tenants in a building?

From a building's page, you can send a grouped communication to all its tenants at once.

Send the communication

  1. In the "Properties" menu, open the relevant building and stay on the "General information" tab.

  2. In the "Units" section, click "Actions", then "Send a communication". The "Send a communication" window opens.

  3. Choose the "Sending method": "Email", "Letter", "Registered letter" or "SMS". By default, the recipients and method follow your communication preferences; you can adjust them for this send.

  4. Under "From", select the sender.

  5. Under "To", check or adjust the list of recipients. You can also use "Cc" and "Bcc".

  6. Under "Content", write the "Subject" and the body. To attach a file, click the paperclip icon at the bottom of the text area.

  7. Click "Send via Smovin".

When sending by letter

If you choose "Letter" or "Registered letter":

  • Enable the "Send a copy by email when sending a letter" option if needed.

  • A "Payment" summary shows the number of pages and the total cost before sending (a cost per page applies).

  • You can "Preview" the letter, "Send via Smovin", or choose "Download and mark as sent" to send it yourself.

One communication is sent per contract. For email sends, only the tenants of the same contract can see each other's email addresses. For example, if Alice and Bob rent together and Charlotte occupies another unit in the building, one email goes to Alice and Bob and another to Charlotte; Charlotte's address is not shared with Alice and Bob.

Where to find your sent communications

Your communications are available in three places:

  • in the "Communications" menu;

  • on the relevant contract's page, "Communications" section;

  • in the "Contacts" (address book), by opening the tenant, "Communications" section.
