To avoid having to manually re-enter these invoices into your accounting software, Smovin allows you to connect to your accounting software and export all your invoices with just a few clicks.
This is possible with a selection of accounting software such as ExactOnline, Winbooks, BO50, Horus, and Octopus. This list is regularly updated to allow more and more accounting software to be connected. If your software does not appear in the list, please contact us to learn more. It may be possible, initially, to export your invoices in XLS or CSV format and import them directly into your accounting software.
Before performing the first export, it is important to define your export preferences. To do this, click on your initials in the top right, then on "My Preferences," and go to the "Accounting" tab.
Export preferences are managed by Owner. Therefore, select the owner of your choice.
Step 1: Select your accounting software and establish the connection
Choose your accounting software from the available list.
Follow the steps to establish the connection between Smovin and your account.
Step 2: Define export preferences
On the first screen (Accounting Accounts): Indicate the Class 7 account where each category of amount to be invoiced (rent, flat fee, etc.) should be recorded. You can either use the same account for all categories or define a separate account for each. For each category, you can also define a different account per contract. If your accounting software is connected, the existing accounts will already appear in the list, and you just need to select them.
On the second screen (Analytical Axes): You can add 2 analytical axes of your choice, either for categories of amounts, property elements (property or building), or both. This step is optional.
On the third screen (Tenants): Please enter the customer code used in your accounting software for each tenant.
On the fourth screen (VAT Codes): You can validate or modify the default VAT codes set by our system based on your usage.
On the final screen (Accounting Journals): Indicate the journals in which invoices should appear in your accounting system. You can set a separate journal for credit notes and debit notes.
Please note: If a client code, accounting account, or analytical code is modified in the accounting system, you must manually update your export preferences in Smovin to reflect this change. Otherwise, you will need to fill in this field manually during each export.
Step 3: Export invoices
Once your preferences have been established, you can begin the export process:
Either from the preferences page.
Or from the "Management" > "Sales Invoices" page, click on "Action" > "Export invoices."
If a field was not filled in your preferences, the corresponding field will be missing and must be added manually by clicking the 3 dots to the right of each invoice. If any element is missing, the export cannot be completed, so make sure all data is complete.
