How to set your sending preferences?

Sending preferences define, by default and for all your contracts, how your automatic communications (indexation, payment delays…) and your grouped sends are sent: the sending method and the recipients. By default, everything is sent by email to all tenants of the contract.

Steps

  1. In the left-hand menu (at the bottom), click Settings.

  2. In the settings panel, click Communications.

  3. Find the communication type you want to set (e.g. Indexation, Payment delay). Each type has two buttons: Communication content (for the message text) and Sending preferences (for the method and recipients).

  4. Click Sending preferences. A window opens.

  5. Under Sending method, choose the default method (Email, Letter, Registered letter or SMS).

  6. Check the Sender (by default, Main owner).

  7. Under Recipients, tick who receives the communication: Main tenant, All tenants and/or Guarantor(s).

  8. If the method is Email, you can add someone in Cc or Bcc. ⚠️ This person will be copied on all the relevant automatic and grouped emails.

  9. To apply a different rule to a specific contract, in the Exceptions section click Add an exception, then fill in for the row: Contract, Sending method, Sender, Recipient(s).

  10. Click Confirm.

💡 These preferences apply to automatic and grouped sends. For a one-off send to a tenant, use the send window from the contract.
